Terms & Conditions

These Terms & Conditions ("Terms") govern your access to and use of the PR0TOCOL website, member platform, and participation in PR0TOCOL events. By creating an account, registering for an event, or otherwise using our services, you agree to be bound by these Terms.

01Acceptance of Terms

By accessing protocolracing.com or any PR0TOCOL service, you confirm that you have read, understood, and agree to these Terms and our Privacy Policy. If you do not agree, you must not use our services. We may update these Terms from time to time; continued use after changes means you accept the revised Terms.

02Eligibility

• You must provide accurate, current, and complete information when registering.
• Participants under the age of 18 may only register and participate with the consent and supervision of a parent or legal guardian, who accepts these Terms on their behalf.
• You confirm that you are medically fit to take part in physical activity. If you have any medical condition, you should consult a doctor before participating.

03Accounts & Member Numbers

• You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.
• Each member is assigned a permanent PR0TOCOL member number (e.g. PTC-XXXX). This number identifies you across events and on leaderboards.
• You may sign in using email and password or via Google Sign-In. You must not share, sell, or transfer your account.
• We reserve the right to suspend or terminate accounts that provide false information or breach these Terms.

04Event Registration & Slots

• Event participation is subject to availability of slots and successful payment (where applicable).
• Slots are allocated on a first-come, first-served basis and are confirmed only once payment is received and your registration shows "Confirmed".
• Registrations are personal and non-transferable unless we expressly permit a transfer.
• You must arrive on time, complete identity verification, and follow all event-day instructions and safety briefings.

05Fees & Payment

• PR0TOCOL events are currently offered free of charge. There is no registration fee at this time.
• Where a fee applies to a future event, it will be clearly stated at the point of registration, quoted in Malaysian Ringgit (RM), and processed by a secure third-party payment provider. We do not store your full card details.
• Where payment is required, your registration is confirmed only after payment is successfully received.

06Refunds & Cancellation

• No refunds: Registrations are non-refundable. As events are currently free of charge, no fees are collected and no refunds apply. Should paid registration be introduced in future, all fees will likewise be non-refundable, except where an event is cancelled by us.
• Event postponement: If we postpone an event, your registration will be carried over to the new date.
• Event cancellation by us: If we cancel an event, we will notify registered participants. As no fees are currently charged, no refund is applicable. Where paid registration applies in future and we cancel an event for reasons within our control, we will offer a refund or credit as described at the time. We are not liable for cancellations caused by events beyond our reasonable control (see "Force Majeure").

07Assumption of Risk & Release

PR0TOCOL events involve strenuous physical activity (including timed running on treadmills and related equipment) which carries inherent risks, including the risk of injury, illness, or in rare cases death. By registering and participating, you acknowledge and agree that:

• You are voluntarily participating with full knowledge of the risks involved and you are physically fit to do so;
• You assume all risks associated with participation, whether foreseen or unforeseen;
• To the fullest extent permitted by law, you release and hold harmless the Organiser, its officers, employees, sponsors, partners, and venue providers from any and all claims arising from your participation, except to the extent caused by our gross negligence or wilful misconduct;
• You will immediately stop and seek assistance if you feel unwell, and you will comply with all safety instructions and equipment-use guidelines.

08Rules, Fair Play & Results

• You agree to follow all event rules, including timing, equipment calibration, identity verification, and conduct rules communicated by race control.
• We may disqualify any participant for rule violations, unsafe behaviour, tampering with equipment, or unsporting conduct.
• Results are determined by race control and are final once published, subject to our dispute process. Your name, category, time, and ranking may be published publicly on our leaderboards and broadcast displays.

09Media & Photography

Events may be photographed, filmed, or live-streamed. By participating, you consent to the Organiser using your image, name, and results in event coverage, marketing, and social media, without additional compensation, unless you notify us in writing in advance.

10Intellectual Property

The PR0TOCOL name, logos, branding, website, designs, and content are owned by us or our licensors and are protected by law. You may not copy, reproduce, or use them without our prior written permission.

11Acceptable Use

You agree not to misuse the platform, including attempting to gain unauthorised access, disrupting the service, submitting false information, or using the platform for any unlawful purpose.

12Limitation of Liability

To the fullest extent permitted by Malaysian law, our total liability arising out of or in connection with your use of the platform or participation in an event shall not exceed the fees you paid for the relevant event. We are not liable for any indirect, incidental, or consequential losses.

13Indemnity

You agree to indemnify and hold us harmless from any claims, losses, or expenses arising from your breach of these Terms or your participation in an event.

14Force Majeure

We are not responsible for any failure or delay caused by events beyond our reasonable control, including acts of God, extreme weather, pandemics, government orders, or venue closures.

15Governing Law

These Terms are governed by the laws of Malaysia. Any dispute shall be subject to the exclusive jurisdiction of the courts of Malaysia.
